This guide is part of the User Guides collection. It covers the vendor-facing domain: the subdomain vendor emails come from and the portal is hosted on. For logo, color, and layout branding, see Step 1 of the Admin and setup guide and Applying your own branding.
By default, Coverbase sends vendor email from mailer@coverbase.ai and vendors submit documents through dashboard.coverbase.app. That works with no setup. Most customers white-label it and host the vendor experience on their own subdomain instead.

Why white-label

  • Higher response rates. Vendors are more likely to open and act on email from a domain they recognize.
  • Unified branding. Your organization’s identity stays consistent through the whole vendor interaction, not only inside the email body.
  • Reduced friction. Fewer “is this a phishing attempt?” questions for your security team.

Before you start

You need:
  • A dedicated subdomain you control, such as vendors.yourorg.com. Do not use your root domain, since Coverbase needs its own DNS records without touching the rest of your mail and web setup.
  • A chosen email prefix, such as outreach@, for the address vendor email will send from.
  • Either the ability to delegate that subdomain’s nameservers, or access to create records directly with your DNS provider.
Talk to your Coverbase contact to kick off setup. They confirm your subdomain and email prefix and help you pick one of the two paths below.

Two ways to set it up

This is the lowest-maintenance option for your IT team. Provision NS (Name Server) records for your chosen subdomain, pointing to Coverbase. Once delegated, Coverbase handles the configuration and ongoing maintenance of TLS certificates, inbound and outbound email traffic, and web routing on that subdomain. You do not need to touch DNS again after the initial delegation.
Choose this path unless your organization’s policy specifically prevents delegating a subdomain’s nameservers to a third party. It is less setup work now and no maintenance later.

Option 2: Organization-managed DNS

Choose this if your organization’s policy prevents Name Server delegation. Your team creates and manages the individual records instead, which typically takes 1 to 2 weeks due to the manual coordination and troubleshooting involved. Your Coverbase contact provides the specific record values once your subdomain is confirmed. The categories you provision:
